Our clients often tell us we have a template for everything. And frankly, they’re not wrong. We’re passionate about giving you time back in your day for creativity to flourish, and it all starts with organization. The first step is to streamline your backend workflow by putting five client process documents in place.
These documents are pieces of content you might already have on hand, but the existing version may or may not represent the caliber of your work. From the initial outreach to the final send-off, every designer needs a seamless process to impress clients at every turn. We’re walking you through our investment guide, welcome guide, design proposal, design presentation, and goodbye packet—all designed to heighten your client experience.
At IDCO Studio, we’ve created a collection of client process documents which can be fully customized to your brand. Our documents are delivered as an editable Canva template with done-for-you copy, all of which can be purchased separately or bundled as a set.
These customizable templates for interior designers serve so many functions, like setting expectations, sharing timelines, and communicating what to expect each step of the way. Not only are these materials a key part of the client education process, but they are what take your brand to the next level.
1. Investment Guide
An investment guide is a dual-purpose document that every designer should have on hand. This document can be attached whenever you respond to new inquiries to help convert good prospects and weed out the rest. Providing clear information on your services and pricing upfront is a time-saving measure for you and your staff to avoid fielding questions with back-and-forth emails.
2. Design Proposal
Casting a vision to prospective clients with an actionable design plan is one of the most crucial steps in any project. Sometimes it’s challenging to get all your ideas on paper, but a great design proposal template makes it easy. Our design proposal outlines the scope of work, project estimates, and the client's overall goals. You’ll have space to define each stage of the design process and efficiently communicate what to expect.
3. Welcome Guide
Once a client has signed on to work with you, it’s crucial to keep them informed every step of the way. That's where a welcome guide comes into play. Use this document to offer your new client a warm welcome and reassure them their home is in great hands. You’ll also want to provide information on the team members they’ll be working with, specific project timelines, billing details, and any other FAQs you receive on a regular basis. While it requires some legwork, creating a welcome guide is a done-and-one document that gives your clients a clear overview, and becomes something that they can continually reference throughout the project.
4. Design Presentation
Once you’ve honed in on who your clients are and what they want out of their space, it’s time to officially put plans on paper. Every designer wants to blow your clients away with a comprehensive presentation, so we’ve put together a 33-page document that covers everything from mood boards to timelines and detailed action plans for each space. Sharing ideas with new clients can be a nerve-wracking experience, but doing the prep work with a stunning presentation is all the confidence you need.
5. Goodbye Packet
While it can feel like an afterthought, we believe the off-boarding process should be a highly branded experience. As a part of the wrap-up process, we highly recommend sending your clients a goodbye packet that acts as both a heartfelt thank you and offers next steps to work together in the future.
Each of our goodbye packets are designed as a fully editable Canva template, including a formal goodbye of well wishes, care guides, next steps, and professional copy, all within a 12-page document. Just like our other client process materials, the Goodbye Packet is entirely editable to your brand colors and style.
